FixDigital CRM: Zoom Integration

FixDigital CRM — Zoom Integration

This page explains how to add, use and remove the FixDigital Zoom integration, which data the
integration accesses, and what happens to that data after you disconnect.

Product: FixDigital CRM — https://app.fixdigitalcrm.com
Vendor: FixDigital

1. Overview

FixDigital CRM is a sales and customer-management system used by sales, marketing and support
teams. The Zoom integration lets a CRM user connect a personal Zoom account and schedule Zoom
meetings directly from the CRM calendar or from a lead / contact card, without switching to the
Zoom client.

When a CRM meeting is created with the meeting type Zoom, FixDigital creates the meeting on
the connected Zoom account and stores the Zoom join link on the CRM meeting, so everyone who
has access to that meeting in the CRM can open it.

The integration is per user: every CRM user connects their own Zoom account, and meetings are
created on behalf of that user.

2. Before you start

You need:

  • A FixDigital CRM account with the Connect external services permission. If the integrations
block is not visible in the calendar settings, ask your CRM administrator to grant it.
  • A Zoom account (Basic or licensed) that is allowed to authorize third-party applications. Some
Zoom accounts restrict this — in that case the Zoom account owner or admin must pre-approve the
FixDigital app in the Zoom Marketplace.

3. How to add the integration

  1. Sign in to FixDigital CRM at https://app.fixdigitalcrm.com.
  2. Open a workspace and switch to the Calendar.
  3. Open Log settings (the gear icon in the calendar header).
  4. Scroll to the external connections block. It lists Google Calendar, Outlook 365 and
    Zoom.
  5. On the Zoom card click Make a connection.
  6. You are redirected to Zoom. Sign in if you are not signed in, review the requested permissions
    and click Allow.
  7. Zoom returns you to FixDigital. The Zoom card now shows Connected together with the name
and email address of the connected Zoom profile.

If the card still shows Not connected after you return, reload the page — the card re-checks
the connection on load.

4. How to use the integration

Create a Zoom meeting

  1. In the CRM, create a meeting — from the calendar, or from a lead / contact card.
  2. Fill in the title, date and time, and select the participants.
  3. In the Meeting type list choose Zoom.
The Zoom option appears only while a Zoom account is connected. If you do not see it, go
back to section 3 and connect Zoom first.
  4. Save the meeting.

FixDigital creates the meeting on your Zoom account and attaches the Zoom join link to the CRM
meeting. Open the meeting in the CRM to see and share the link. Recurring CRM meetings are created
as recurring Zoom meetings; one-off meetings are created as scheduled Zoom meetings.

Check the connection

The Zoom card in Log settings always shows the current state: Not connected, or
Connected with the Zoom profile name and email of the account in use. This is the fastest way
to confirm that you connected the Zoom account you intended to use.

5. Permissions and data

Permissions (scopes) requested

Scope Why FixDigital needs it
user:read:user Read the connected Zoom profile (name, email) to show which Zoom account is connected and to verify that the connection is still valid.
meeting:write:meeting Create a Zoom meeting when a CRM meeting of type Zoom is saved.

No other scope is requested. The integration uses no Zoom webhooks and no event subscriptions.

Zoom API endpoints used

Method Endpoint Purpose
POST /oauth/token OAuth authorization and token refresh
GET /v2/users/me Read the connected profile / verify the connection
POST /v2/users/me/meetings Create a meeting from the CRM meeting form

Data stored by FixDigital

  • The Zoom OAuth access token and refresh token of the connected user, so the CRM can act
    on behalf of that user.
  • The join URL returned by Zoom, saved on the CRM meeting record.

The meeting title, date and time are the CRM's own meeting fields entered by the user; the title
is passed to Zoom as the meeting topic. The Zoom meeting ID is not stored. No meeting content,
recording, transcript, chat or participant list is accessed, stored, cached or logged.

Tokens are stored in the company's own database and are never shared between companies or with any
third party.

6. How to disconnect the integration

In FixDigital CRM

  1. Open Log settings → the external connections block.
  2. On the Zoom card click Disconnect.

The stored Zoom access and refresh tokens are deleted immediately. The Zoom option disappears
from the meeting-type list, and no further meetings can be created on Zoom until you connect again.

In your Zoom account

You can also remove the authorization from Zoom's side:

  1. Sign in at https://marketplace.zoom.us.
  2. Open Manage → Added Apps, or search for the FixDigital app.
  3. Click the FixDigital app.
  4. Click Remove.

7. What happens to your data after removal

  • The stored Zoom access and refresh tokens are deleted, so FixDigital can no longer call the Zoom
    API on your behalf.
  • Zoom meetings that were already created stay in your Zoom account — they belong to your Zoom
account and are not deleted by FixDigital. Delete them from Zoom if you no longer need them.
  • CRM meetings that were already created keep the join link stored on the meeting record, so the
meeting history in the CRM stays readable. The link is removed together with the CRM meeting when
    the meeting is deleted.
  • The CRM never stored any other Zoom data, so nothing else remains.

8. Troubleshooting

The integrations block is not visible in the calendar settings.
Your CRM user lacks the Connect external services permission. Ask your CRM administrator.

After clicking Connect I return to the CRM, but the card still shows "Not connected".
Reload the page. If it still shows "Not connected", make sure the browser did not block the
redirect or the third-party cookies for the Zoom domain, and try again.

The "Zoom" option does not appear in the meeting-type list.
The option is shown only while Zoom is connected. Open the calendar settings and check the Zoom
card; connect the account and reopen the meeting form.

Zoom shows "This app is not approved for use outside of your account".
The Zoom account you signed in with is not allowed to use the app. Use a Zoom account of the
account that installed the app, or ask your Zoom admin to approve the FixDigital app.

The Zoom card shows a different account than expected.
Click Disconnect, then Connect again and sign in with the Zoom account you want to use.

A meeting was saved but no join link is attached.
The Zoom API rejected the request — most often because the authorization expired or was removed on
the Zoom side. Reconnect the Zoom account and create the meeting again.
